Cash flow forecast & tracking templates for Excel

Profit tells you whether the business works; cash flow tells you whether it can pay next month's bills. This page collects the cash flow templates built by Sheetly AI — 13-week and 12-month forecasts, rolling 18- and 24-month views and monthly trackers — and explains how a cash flow forecast is built so you can choose the right horizon.

How a cash flow forecast is built

Every forecast is the same chain: opening balance, plus cash in (sales collected, loans, other receipts), minus cash out (suppliers, payroll, rent, taxes, loan payments), equals the closing balance — which becomes next period's opening balance. The running balance is the line to watch; the templates highlight any period where it goes negative.

The key word is collected. A sale invoiced in March and paid in May is cash in May. Forecasts that use invoiced revenue instead of expected collections look healthy right up to the month the account runs dry.

13-week, 12-month or rolling: choosing the horizon

A 13-week (weekly) forecast is the tool for tight cash: it shows which week a payroll or supplier payment will not be covered, early enough to act. A 12-month forecast is the planning view for budgets, hiring and loans, usually monthly. Rolling 18- or 24-month forecasts add a new month as each one closes, so the horizon never shrinks.

Pair any forecast with a tracker: the monthly actuals next to the forecast, with the variance, is how the forecast gets better every month instead of being rebuilt from scratch.

Common mistakes the spreadsheet should prevent

Forgetting the irregular payments: quarterly taxes, annual insurance and loan balloons belong in the forecast in the month they are paid, not spread evenly.

No variance column: without forecast vs actual side by side, nobody learns which assumptions were wrong.

Hard-coded balances: the templates here use real Excel formulas, so changing one receipt or payment recalculates every closing balance after it.

Frequently asked questions

How do I make a 12-month cash flow forecast in Excel?

List the 12 months as columns. For each month, start from the previous closing balance, add expected cash in (collections, not invoices), subtract expected cash out, and carry the closing balance to the next month. Conditional formatting on the closing balance flags any month that goes negative.

What is the difference between a cash flow forecast and a cash flow projection?

The terms are used interchangeably. Some teams use "forecast" for the near term based on known receipts and bills, and "projection" for longer, assumption-driven scenarios; the spreadsheet mechanics are the same.

When should I use a 13-week cash flow forecast?

When cash is tight or uncertain. Weekly granularity shows exactly which week a payment will not be covered, which a monthly forecast can hide inside a month that ends positive.

Are the cash flow templates free?
